What cPanel webmail is

If Digitalx hosts your website, your professional email addresses live on that same hosting account and are managed through cPanel. Webmail is the browser based inbox that comes with it. You do not need to install anything, and you can reach it from any computer or phone with an internet connection.

Webmail is the quickest way to check whether an email account is working. If mail arrives in webmail but not in Outlook or Gmail, the problem is with the app settings, not with the mailbox itself. That single test saves a lot of guessing.

Logging in through your browser

There are three addresses that all reach the same place. Use whichever you find easiest to remember, replacing yourdomain.co.za with your own domain.

  1. Open your browser and go to yourdomain.co.za/webmail. If that does not load, try webmail.yourdomain.co.za or yourdomain.co.za:2096.
  2. In the Email Address field, type your full email address, for example accounts@yourdomain.co.za. A common mistake is typing only the part before the at sign. The full address is required.
  3. Type the mailbox password. This is the password created for that specific email address, not your cPanel account password and not your website admin password.
  4. Click Log in.
  5. The first time you log in, cPanel may ask you to choose a webmail application. Roundcube is the friendliest option. Click Open underneath it.
  6. Tick Open my inbox when I log in so it skips that choice next time.
Worth knowingIf you have forgotten the mailbox password, we can reset it for you in cPanel without affecting your other email addresses. Send us a WhatsApp with the address that needs resetting.

Logging in through cPanel itself

If you have your own cPanel login, you can also reach every mailbox on the account without knowing each individual password.

  1. Go to yourdomain.co.za/cpanel and log in with your cPanel username and password.
  2. Under the Email section, click Email Accounts.
  3. Find the address you want in the list and click Check Email on the right.
  4. Choose Roundcube and click Open.

Sending your first test email

Always test in both directions before you start using a new address on invoices or business cards.

  1. In webmail, click Compose and send a message to your personal Gmail or Yahoo address.
  2. Check that it arrives, and check the spam folder if it does not appear within a minute or two.
  3. Reply from that personal address back to your professional address.
  4. Confirm the reply lands in your webmail inbox.

If sending works but receiving does not, the domain's MX records may still be pointing elsewhere. Tell us and we will check the DNS.

Everyday tips for webmail

  • Bookmark the webmail address so you are not retyping it every time.
  • Webmail leaves mail on the server, so anything you read there is still available in Outlook or on your phone.
  • Use folders to keep quotes, invoices and supplier mail separate. Folders you create in webmail appear in your other apps too, because IMAP syncs them.
  • Empty the Trash and Junk folders occasionally. Hosting mailboxes have a size limit, and a full mailbox stops receiving new mail.
  • Never log in to webmail on a shared or public computer without logging out afterwards.

Settings for adding it to an app later

Webmail is convenient but most people eventually want their mail in Outlook, Gmail or their phone. These are the settings you will need. Replace yourdomain.co.za with your own domain.

Use IMAP rather than POP3 unless you have a specific reason not to. IMAP keeps every device in sync, so a message you read on your laptop shows as read on your phone.

Changing your password and adding addresses

If you have cPanel access you can manage mailboxes yourself, and it is worth knowing how.

  1. Log in at yourdomain.co.za/cpanel.
  2. Open Email Accounts under the Email section.
  3. To change a password, click Manage next to the address, then enter a new password and click Update Email Settings.
  4. To add an address, click + Create, choose the domain, type the part before the at sign, set a password and a mailbox quota, then click Create.
  5. To set up an auto responder for leave or after hours, go back to the Email section and open Autoresponders.
Worth knowingChanging a mailbox password signs that address out of every device. You will need to enter the new password on your phone, your laptop and anywhere else it is set up.
